Film Festival Events Co-ordinator

With 15 years of experience in establishing, producing and promoting nationwide tours, our compact and versatile team create and deliver a range of inspiring and high-quality events in collaboration with or on behalf of clients.

 

Producing over 130 events annually, our film tours celebrate a range of film genres including adventure, mountain and ocean themed films. We visit some of the country’s most prestigious and spectacular theatres and are passionate about offering like-minded audiences unique events where they feel a part of something extraordinary, and leave feeling inspired to push boundaries.

 

We now have a position available for a capable and talented individual to join our team. This is an exciting opportunity for the right person to play a vital role in delivering the largest film tours in their genres across the UK and Ireland! ROLE DESCRIPTION

Snowline Media is looking to recruit a film festival events co-ordinator to support the organisation and delivery of our tours which include the UK and Ireland Tours of the Banff Mountain Film Festival World Tour and the Ocean Film Festival World Tour.

 

Applications are welcome from individuals who also have an interest in performing an emcee or technical role at some screenings (all training will be provided) in addition to the film festival events co-ordinator position.


The role is part-time working two days per week (although option for fixed term contract can be discussed for the right candidate).

KEY TASKS AND RESPONSIBILITIES

Marketing

  • Assist in the development and execution of marketing campaigns designed to raise awareness of tour events and associated activity.

  • Contribute to content creation and management of social media channels (eg Facebook and Instagram).

  • Co-ordinate the distribution of tour promotional materials to venues and partners.

  • Liaise with local clubs and groups to raise awareness of the tours and, where appropriate, establish local partnerships.

  • Assist with creation of engaging and interesting ‘copy’ text to promote the tours across a variety of mediums.

  • Assist in maintaining and updating website content.

  • Identify other opportunities for editorial/promotion of the film tours produced by Snowline Media and work with the team to implement these ideas

  • Provide assistance with generating local and national editorial press coverage of the festival.

Volunteer Co-ordination

  • Assess applications from potential volunteers and work with team to select suitable candidates.

  • Generate and share promotional tour assets in a variety of formats (including email, social media and a dedicated closed forum) to enable volunteers to promote tour events across their networks.

  • Co-ordinate the packaging and dispatch of promotional materials to volunteers.

  • Communicate volunteer roles and responsibilities prior to screening events and respond to any questions and concerns.

Ticketing Co-ordination

  • Assist team to monitor ticket sales and identify any need for further marketing activities.

  • Liaise with venues and ticket selling outlets to monitor ticket availability and address any ticketing issues that may arise.

  • Maintain ticket sales reporting.

  • Manage creation and uploading of screening events on to an online ticketing system.  

 

Screenings (there will be an opportunity to attend some screenings). At the screenings attended, duties would include:

  • Assist touring team with loading in/out duties and set up of technical equipment.

  • Assist with ‘look and feel’ of the front of house area and tour branding in the auditorium.

  • Management of volunteers and competition tables at the venue.

  • Liaise with venue staff on event operations.

 

Other tasks

  • Assist with updating the financial reporting on accounting software (no previous experience required).

  • Maintain and create Excel spread sheets and other systems as required to track work flows, ticket sales, progress of key activities and deadlines across Snowline Media operations.

  • Assist with collating data that will be used to develop company performance forecasts and to improve Snowline Media operations.

  • Assist with preparation of content for tour magazines.

  • Maintain audience database details and manage integration of new details on to emailing software in line with General Data Protection Regulations.

  • Monitor website for accuracy and identify and change information that needs to be updated.

  • Monitor Snowline Media general email accounts and act as the point of contact for customer enquiries.

  • Assist with any additional day to day office management and tour logistic requirements as needed.

 

ESSENTIAL QUALIFICATIONS & SKILLS

We are looking for a creative, versatile, and enthusiastic individual. Particularly important to this role is the ability to learn quickly and to have excellent written and verbal communication skills.

  • A self-starter, capable of working independently and co-ordinating with colleagues remotely.

  • Hands-on and adaptable, ready to undertake a wide variety of tasks as the need arises.

  • Highly organised – capable of multi-tasking and managing their own projects and initiatives, as well as working effectively in a team environment.

  • Technically literate – comfortable using (or learning to use) a variety of Microsoft Office and web-based platforms and services (e.g. Word, Excel, etc). Experience using email database software (e.g. Mailchimp) is an advantage but not essential.  

  • Ability to communicate effectively and represent Snowline Media and our tours to a variety of organisations, individuals and the public.

  • Enthusiasm for the outdoors and adventure films in order to understand the needs of our audience and partners.

Desirable Skills

We still want to hear from you if you believe you are suited to this role and don’t meet all of the desired criteria:

  • Marketing or public relations experience.

  • Previous experience with events or working with the public.

  • Experience in creative design (eg website design/updating, using design software eg Photoshop, InDesign, Premier Pro).

  • An interest in performing an emcee (i.e. presenting) or technical (all training would be provided) role at some screenings.

JOB DETAILS & TIMINGS

  • Location: Remote working. However, the candidate must be prepared to attend the office located just outside of Banbury from time to time, as required. It is preferred that the candidate lives within one hour from Banbury, Oxfordshire.

  • Start date: March 2024

  • Duration: Part time (with potential for fixed term contract).

  • Timings: 2 days per week.

  • Salary: Competitive

  • Interviews: Will be held near the end of February.
